Episode Notes:

Today we are going to talk about the services a VA can offer to podcasters.

A virtual assistant can be a key asset for podcasters, helping them streamline various aspects of their business and improve their efficiency, time management, professionalism, and reach.

Here are several ways a virtual assistant can assist podcasters:

Episode Management and Production

The production part of the podcast is usually one of the most time consuming pieces – there are many steps to manage with each episode.

You can help by planning the podcast episode schedule, including upcoming guests or special series or seasons, and managing all of the sessions for consultations, recordings and more.

You can also help by doing the actual production, like editing (audio editing isn’t that challenging!) or managing the post production team if someone else is doing it. Getting the episodes edited in a timely fashion is one of the most important pieces to keeping the podcast release schedule on time.

You can can create show notes for each episode – a very important tasks that helps listeners know if they want to tune in to the episode, as well as for the relevant links that the podcaster wants to provide for those who listen to the episode.

Guest research can be helpful as well, finding people to host as well as collecting some background information for them, creating potential discussion topics or questions can help make the episodes interesting and tight.

Marketing the Podcast

Marketing of the podcast also requires many steps. We want as many eyes and ears on the client’s podcast as possible.

Creating, scheduling and posting updates on social to promote new episodes and back catalog episodes is a highly necessary services to provide, as it’s the way we get people to listen in.

And once on social, media, monitoring and engaging with listeners who are tuning in is essential as well. Some podcasters can handle this part on their own but if you are posting the podcast everywhere, as the VA you can alert the podcaster to where there is activity that needs to be responded to or engaged with.

There is a lot of email correspondence with a podcast – especially if the podcaster is hosting guests or being a guest on other podcasts too. You can help to keep their inbox filtered, respond to routine emails, and other inquiries, and forward only the necessary one to the podcaster. Communicating with guests can often become a lot of back and forth too – and that’s where a VA can really come in handy, providing logistics and collecting the information that the podcaster needs for the episode and show notes.

You can also transcribe or repurpose the content from the podcast into written form for additional content creation or accessibility.

Analytics and Reporting

It is important to track the performance of the podcast episodes. Are there certain topics that do better than others? Publishing on a certain day? A social media platform that is really helping to increase engagement or downloads? All of these metrics can be coordinated by you to help improve the podcast.

Uploading the podcast episodes to the website and helping with SEO to improve visibility online is a great task to provide within your podcast services. So many people forget about SEO but it’s so important to take that extra step.

Helping acquire and manage sponsorship of the podcast can also be a busy task for VAs, especially if the podcast is very popular. Maybe your client even has an online store or ecommerce that helps them monetize their podcast too.

Technical Assistance and Support

Whether it’s setting up recording equipment or troubleshooting technical issues, doing the actual recordings or editing or working with the hosting platforms, there are a lot of technical details that go with creating and producing a podcast.

And finally, along with social media, your client might have a community build around the podcast – and moderating forums, discussion topics, groups and listener comments is very helpful.

So many things that you can help a podcaster with – and you can choose to do a few, or all of them. Full service podcast management is a growing service – because every detail is really important and shouldn’t be skipped. For a weekly podcast (or more frequent ones) that it a large chunk of time that can be managed by having you help.

Why should a podcaster look to work with a VA to get their podcast produced every week?

Working with a VA offers the podcaster a range of benefits. There are so many steps that go into properly preparing, producing, and promoting a podcast, and many hands make light, and consistent work.

The podcaster works more efficiently when the VA handles routine and time-consuming tasks, and frees up time for them to focus on creating high-quality content, research, scriptwriting, and engaging with the audience.

Managing schedules and guests is such a large chunk of podcasting time the having someone keep it all organized makes sure important communications and deadlines don’t get missed.

Facilitating conversations on social media is a big part of growing the podcast audience into a loyal and active listener base, and having content posted regularly helps the podcaster focus on the connections.

Delegating tasks saves everyone time, but the detail-y type stuff that a VA can do for a podcaster helps so much because there are so many details every single week. Getting that time back can mean so much to a podcaster, and they can use it to create content, do strategic planning, guest on other people’s podcasts, or even tend to personal activities.

As the podcast grows, all of the demands do too. A VA can help manage that increasing workload. A VA can not only manage the podcast growth, but contribute to it too.
